Simplifying ERP Even For Entry Level Staff

CXO Today: When it comes to ERP, the mind-set of the organization is important. It takes too many rounds of discussion to move from their legacy system to another ERP. What is your promise in terms of the change management?

S Kabilan: Every Organisation would come across a trigger event as they face business challenges/pain areas, which makes them to look for options to make a step change through an effective ERP. Our promise to those Organisations opting for change would be an understanding of their needs and the purposes of their business processes- With our BPR approach, we work with their Core team for championing the changes and ensure sustenance by marrying the business process, organization structure, and our Roadmap ERP- We map and analyse the target process in ample detail to ascertain the costs and causes of performance breakdowns.- We develop and communicate the compelling business case for initiating the process changes and use our MIS&BI Tools for performance measurement as a feedback loop for ensuring continuous improvement 

CXO Today: Any ERP system should have clear implementation objectives and its success depends on how well-articulated your implementation objectives are in order to convince the customer. What is your take on this?

S Kabilan: When it comes to our Roadmap ERP Implementation objectives, we emphasis on the Scope defined with a detailed Implementation Project Plan. Our time tested implementation methodology consists of Preliminary analysis & Strategy formulation followed by series of awareness programmes to facilitate the change management. Our foundation for implementation is our As Is Process study and documentation. With that base, we leverage on our expertise in Re-engineering for making a best fit Solution to our clients with customization. Every industry is unique with their native intelligence developed over a period and we capture those specifics with our customisation support without adding any additional implementation cost. We provide much impedance on the Users training and acceptance. Our Go Live is only after submitting the P&L to our Customer with their acceptance.

CXO Today: One key expectation from the CIOs, especially from the manufacturing sectors is the training for employees from various educational levels.

S Kabilan: Yes, we work on our training programme from the Project kick off itself with the committed support from our Client’s top management. Our training curriculum provides systematic practice exercises to synchronize training at all levels and preparing end-user documentation and training material, training the Client’s core team, and end-users training.

We seriously involve the Client’s core team in the training process as they have the better understanding of organization’s systems and culture. Hence we adopt the train the trainers concept to ensure better reach of the training at all levels. Roadmap ERP, is User Friendly application and it can be adopted easily/quickly; wherein, getting trained for its usage will not take much time. In some of our client places, the security person even with primary education, makes the gate entry in our ERP. Entry level people could also able to operate the application with ease.

 CXO Today: How friendly is your data migration process? Every ERP software claims on easy-migration. However, post-migration becomes a head-ache for the companies.

S Kabilan: By having a well-defined data migration approach ensures to keep the implementation timeline, and go-live with correct, valid data. Key Steps followed to streamline the process and execute a successful data migration are:- Extract Data from legacy system; Transform Data, in accordance to migration templatesData Upload and Reconcile Data for its correctness. Roadmap confirms and ensures operational efficiency and proper flow of valid data in all processes, even after successful implementation (post implementation).

CXO Today: How easy is your ERP integration with modules in the other divisions. For example, a HR department will be using a software for payroll or a marketing team would be using some analytics tool. How well the product from Roadmap can sync well?

S Kabilan: We emphasis for single ERP to address all the requirements of the Corporate as we offer all the modules and features like Business Intelligence, Mobile Applications etc. In specific cases, where the customer wants to integrate with other Application, on case to case basis we work on that integration by bringing in the web services to ensure bidirectional data exchange. Our experts provide highest level of integration by ensuring masters synchronization and real time updation.  

CXO Today: Does Yourdatastorage come on cloud or on premise? If cloud, what would be the basic cost and explain your datacenter?

S Kabilan: You know that our Roadmap ERP is with Oracle database, which is highly reliable. We offer both On Premise and On Cloud solution to our clients depending on their requirements and suitability. Our Cloud costing is very much affordable with all features inbuilt including customization and support.

In case of Data Security, Oracle Software Security Assurance (OSSA) ensures security into the design, build, testing, and maintenance of its products and services, including the Oracle Cloud Services. Oracle Cloud Services operates under practices which are aligned with the ISO/IEC 27002 Code of Practice for information security controls, from which a comprehensive set of controls are selected.

 CXO Today: Accordingto most CIOs, 15% customization is well-to-do as they think too much of customization might be a headache in updates in the versions. Where do you draw the line for customization?

S Kabilan: Thorough analysis of current business processes are done and accordingly, understanding document i.e. AS-IS is prepared; upon document approval received from the customer, the required points are compared with of the standard version of the product, and if found any gap, Roadmap will customize the product, in the standard version.

As explained earlier, by analysing the target process in ample detail and understanding their uniqueness with their native intelligence developed, we provide our customisation support if needed. In future, if any up-gradations or enhancement needed, Roadmap will compare the existing version in place and the required updation is done in the standard product with relevant documentations.

CXO Today: Please explain your products role in mobility and hand-held devices.

S Kabilan: Oracle provides highly advanced Oracle Apex tool which supports both IOS and Android Mobile applications. We are providing facility of work flow approvals through our mobile applications for all the key functions. We also provide the MIS, Notifications, Tasks through the Mobile applications which gives more leverage to our customers to work on the go and to save their valuable time

CXO Today: From PoC till deployment, how prompt is your completion process as even a day’s delay might end up in the number of invoices mounting.

S Kabilan: Proven implementation methodology is followed by Roadmap, facilitating the management to act pro-actively for successful completion of the processes as per the milestones. Roadmap will follow the project tracker and sends it to the client on daily basis detailing Plan Vs Actual and if any delay happens, the project management team notifies the client on the same day, to work on the course correction with their support.
